BOOKING TERMS & CONDITIONS

1. Venue Requirements  The ideal playing area required is 25m x 25m, and the equipment is suitable for both indoor and outdoor use.  If the event is held at night, the customer must provide adequate lighting for setup, gameplay, and pack-down. 2. Player Indemnity  All participants must sign the Player Indemnity Form before playing. For participants under 18 years old, a parent or legal guardian must sign the Player Indemnity form.  The signed forms must be submitted to the Games Marshall prior to the start of gameplay.  We recommend sending copies of the Indemnity Form along with the invitations – these can be provided in both electronic and hard copy format. 3. Payments & Cancellations  Payment must be made in full two weeks before the event. We can accept either bank deposit or card payments.  A 50% deposit is required at the time of booking.  Party bookings can be cancelled or rescheduled at no cost if notice is given at least seven days before the event. If cancellation is within seven days, the 50% deposit is forfeited.  Cancellations made within 48 hours of the booking date will incur the full payment. 4. Travel & Pricing  Standard pricing applies to events within 20km of Mudgee town centre. Additional travel fees apply for areas beyond the 20km limit. 5. Rules & Safety  All players must abide by the rules as explained by the Games Marshall on the event day (see Rules & Guidelines).  The party host is responsible for ensuring the playing area is safe for participants and spectators. This includes: o Removing or securing tripping hazards, debris, toys, and sharp obstacles. o Ensuring the area is free from swimming pools unless secured by appropriate, locked fencing. o Roping oƯ areas near significant drops. o Keeping family pets away from the playing area.  Unruly behaviour will result in players being removed from the field to ensure the safety of all participants. 6. Council Approvals  The customer is responsible for obtaining necessary approvals from local councils when utilizing public spaces.  Any applicable fees must be arranged and paid by the customer.  A copy of approval letters or permits must be provided to HyperBeam Pty Ltd before the event.  Failure to obtain council approval will not result in a refund. HyperBeam Pty Ltd will provide a copy of its $20 million Public Liability Insurance Certificate if required. 7. Supervision and StaƯing  All activities are fully supervised and operated by trained staƯ.  Our head Games Marshall is certified in first aid and all staƯ have completed working with children checks.  HyperBeam Pty Ltd does not oƯer "dry hire." StaƯ will manage setup, operation, and pack-down. 8. Weather Policies  HyperBeam Pty Ltd will honour scheduled bookings regardless of weather conditions. However, on the event day, heavy rain may lead to short breaks or rescheduling if deemed necessary.  If adverse weather is forecasted, rescheduling may be discussed and arranged based on availability.  We recommend having wet-weather back up plan on hand and can assist with suggested venues. 9. Changes to Bookings  Changes to the day or time of an event are permitted at no cost if requested at least seven days before the event.  Changes made within seven days may incur a 50% fee. 10. Photography & Media Use  Photographs taken at events may be used on the HyperBeam website and social media platforms (e.g., Facebook, Instagram, TikTok & YouTube).  Consent for using photographs is included in the terms. If you wish to withdraw consent or have specific images removed, please contact us. 11. Acknowledgment of Risks  All participants, and parents/guardians of participants under 18, acknowledge and agree to play at their own risk.  Participation in mobile laser tag is a recreational activity that may involve physical risks. You acknowledge these risks are inherent to the activity. 12. Arrival & Setup  HyperBeam Pty Ltd staƯ will arrive one hour before the event for setup. The customer must arrange for someone to meet the staƯ upon arrival to avoid delays.
